Help Bilee reference approved guidance

Useful coaching can still miss how your organisation expects a process to work. An Organisation Admin can add approved policies, playbooks or guides to a private Knowledge Library, allowing Bilee to use a relevant excerpt when one is available.

The Admin decides which material belongs in the library

The Knowledge Library is enabled and managed by an Organisation Admin. They choose the organisation documents to add and are responsible for keeping approved material current.

Adding a source does not make it public and does not share it with another MyTeamBuilder organisation.

Enable the organisation library

An Organisation Admin turns on the feature for their organisation and manages the document collection.

Add approved working material

Policies, playbooks and guidance should be suitable for the people who may receive them as part of a Bilee answer.

Review and replace material when it changes

The library reflects the documents the organisation provides. The Admin should remove or replace guidance that is no longer current.

Inside a private coaching conversation

Relevant material can support the answer — it does not replace judgement

When someone prepares feedback, welcomes a new starter or checks an internal process, Bilee can look for relevant material in their organisation’s enabled library. If a useful match is found, the answer can identify the document and show a short excerpt the user can verify before acting.

Who receives this experience

Knowledge-supported coaching belongs to the signed-in path

Bilee and Knowledge Library references are part of the authenticated Coaching-seat experience where the organisation has enabled the feature.

An Organisation Admin always occupies a Coach Seat, and a Team Lead requires one. Their role does not give them access to another person’s Bilee conversation.

Assessment seat

The person completes the 36-question, 5-minute assessment through a unique no-login link and receives a Personality profile. They do not receive Bilee or the Knowledge Library coaching experience.

Coaching seat

The signed-in user receives private, always-on support from Bilee and the tools their role, organisation settings and permissions allow.

Two separate privacy boundaries

Organisation sources stay scoped; coaching stays personal

Knowledge Library documents are scoped to the organisation that added them and are available only through authenticated, authorised Product paths.

A document can inform a relevant answer without making the user’s question or resulting Bilee conversation visible to an Organisation Admin, Team Lead or colleague.

Individual coaching is 100% confidential. Organisation Insights are anonymised; no individual messages are visible to Organisation Admins or Team Leads.

Confidential means an Organisation Admin or Team Lead cannot read or identify a person’s coaching messages. Organisation Insights only presents anonymised patterns when there is enough coaching activity to protect individuals. See the full data boundaries.

Check the answer and the source

Bilee may not find a relevant document, and a source-informed answer can still be incomplete or wrong. Organisation material can also become outdated. Check important guidance against the source, current policy and an appropriate human owner before acting.

Useful context, without absolute promises

The library can make a relevant answer more specific, but it cannot guarantee that every answer uses a document or that the guidance is correct.

An Organisation Admin enables the Knowledge Library and manages the organisation’s approved document collection.

No. Managing the source library does not grant access to another user’s private Bilee messages.
