Plan who to assess, who to coach and what happens next

Give a wider group the 36-question, 5-minute assessment, then reserve Coaching seats and private support from Bilee for selected people.

The Organisation Admin owns invitations, access, teams and capacity. You do not have to decide every person's long-term access on day one.

Start with what each person needs afterwards

Both paths include the assessment and Personality profile. The access choice decides whether the person also receives Bilee and the logged-in coaching experience.

Assessment seat

For the wider group: unique assessment link, Personality profile and a permitted contribution to Team dynamics. No login, Bilee, Meeting Insights or authenticated coaching tools.

Coaching seat

For selected people who need private, always-on help from Bilee and the authenticated tools available to their role. Every Organisation Admin occupies one; every Team Lead requires one.

Capacity before email

Check allocated, used and remaining places

The current public terms support up to 100 Assessment Users. Inside MyTeamBuilder, the Organisation Admin sees that organisation's actual allocation, active use, pending invitations and remaining places before inviting anyone new.

A pending Assessment User invitation reserves a place immediately. Cancelling that invitation or removing eligible assessment-only access releases the place. Coaching begins with at least 5 paid Coach Seats and uses its own allocation.

Two invitation routes

Add one person or check a whole CSV first

Both routes let the Organisation Admin choose access and team membership. Bulk Upload previews seat impact and validation issues before anything is created.

Individual invitation

Add a new starter, one manager or a small group from the Organisation Dashboard. Choose their role, team and access before the invitation is sent.

Bulk Upload

Use the existing CSV columns for name, email, team, Team Lead status and access type. The preview checks required/available Coach Seats and Assessment User capacity.

Map people to the right teams

Team membership makes the profile useful in context

A completed profile contributes to Team dynamics only where team membership and permissions allow. Adding people to the organisation is not, by itself, enough.

Choose the team

Add or upload the team name consistently so the right people appear together.

Assign the Team Lead

Every Team Lead requires a Coach Seat because the role uses authenticated team tools.

Keep one access type per person

If the same person appears in more than one team in the CSV, use the same access type on every row.

Track what happens after send

Follow invitations through to completed profiles

Use the Organisation Dashboard to see who is pending and who has completed the assessment. Send a reminder or resend an invitation where needed; remember that pending Assessment User invitations still reserve capacity.

Team dynamics becomes useful as people complete their profiles and are correctly mapped to teams with the required permissions. It does not appear from an invitation alone and it is not a live behaviour feed.

Know which view you are building

Completed profiles and coaching trends answer different questions

Assessment completion can strengthen the team view. Organisation Insights has a separate, anonymised coaching-derived source and does not expose individual messages.

Team dynamics starts with profiles

It brings together completed Personality profiles to help a team discuss communication preferences, decision-making styles and ways of working. People with either access type can contribute where permissions allow.

Organisation Insights shows anonymised trends

It uses eligible, aggregated coaching-derived signals to show organisation-level themes. It does not come from assessment answers and never shows individual coaching messages to Organisation Admins or Team Leads.

When the need changes

Add a Coach Seat without repeating the assessment

An Organisation Admin can assign an available Coach Seat, or add paid allocation where needed, when someone needs private ongoing coaching.

Access changes through the organisation

Assessment Users cannot upgrade themselves. When someone needs ongoing coaching, an Organisation Admin assigns a Coach Seat. If no paid Coach Seat is available, the organisation adds one before changing that person’s access.

What a Coach Seat adds

The person receives sign-in instructions and private, always-on support from Bilee, plus the authenticated tools available to their role. Every Organisation Admin occupies a Coach Seat, and anyone acting as a Team Lead also requires one.

This example uses the current 5-Coach-Seat minimum and Assessment User allocation. Adjust the sequence to your organisation rather than treating it as a promised implementation timetable.

People and capacity

  • Coach Seat allocation covers every Organisation Admin, Team Lead and selected coaching user.
  • Active and pending Assessment Users fit within the organisation's allocation.
  • Access type matches what each person needs after the profile.

  • People know it is a 36-question, 5-minute assessment and what they receive afterwards.
  • Privacy and the difference between Team dynamics and Organisation Insights are understood.

Privacy during rollout

Administration does not reveal individual coaching

Organisation Admins manage access and capacity. That responsibility does not let them read private messages.

Individual coaching is 100% confidential. Organisation Insights are anonymised; no individual messages are visible to Organisation Admins or Team Leads.

Meeting Insights are private to the person viewing them. Assessment Users have no Bilee conversations, Meeting Insights or generated documents because assessment-only access does not include authenticated coaching tools.

A completed Personality profile can contribute to Team dynamics where permissions allow. That shared team view is separate from private coaching and from anonymised Organisation Insights.

Check access, capacity and teams before creating invitations. The dashboard and CSV preview show the current Product state.

Yes. A pending Assessment User invitation reserves a place immediately. Cancelling it releases that place for another invitation.

No. The preview shows required and available Coach Seats. The upload can only be confirmed when enough paid Coach Seats are already available; update Billing first if the preview reports a shortfall.

As invited people complete their Personality profiles and those profiles are available to the correctly mapped team view. Team membership, permissions and completed profiles are all required; invitations alone do not create Team dynamics.

Yes. An Organisation Admin can assign a Coach Seat later or return an eligible person to assessment-only access. Organisation Admins and Team Leads must retain a Coach Seat while they hold those roles.
