Use Assessment seats for people who should understand their working preferences and contribute a completed profile to Team dynamics, but do not need Bilee.

Access and billing are separate steps. Changing an eligible person back to assessment-only access frees a Coach Seat for someone else. To reduce the monthly bill, the Organisation Admin must also reduce the paid Coach Seat allocation in Billing, subject to the minimum.

The assessment path

What happens when someone has an Assessment seat

Assessment-only access is designed for the wider organisation. Each person follows the same clear path without being given Bilee or an authenticated coaching account.

A personal invitation

The organisation gives each person an Assessment seat: access to the assessment and profile, but not the coaching app. They receive a unique link, so there is no account or password to create.

36 questions in 5 minutes

They complete the 36-question, 5-minute assessment through that link. Their answers are saved without giving them a MyTeamBuilder login.

Personality profile

They receive a practical Personality profile that explains their preferences, strengths and communication style in everyday language.

Team dynamics

Where permissions allow, the completed profile contributes to Team dynamics, helping colleagues compare communication and decision-making styles. It does not give that person Bilee or any authenticated coaching tools.

When needs change

Add coaching to selected people

A Coach Seat is an organisation-managed change, not a self-service upgrade. It adds Bilee and the authenticated experience without changing the person’s completed profile.

Access changes through the organisation

Assessment Users cannot upgrade themselves. When someone needs ongoing coaching, an Organisation Admin assigns a Coach Seat. If no paid Coach Seat is available, the organisation adds one before changing that person’s access.

What a Coach Seat adds

The person receives sign-in instructions and private, always-on support from Bilee, plus the authenticated tools available to their role. Every Organisation Admin occupies a Coach Seat, and anyone acting as a Team Lead also requires one.

Two different organisation views

Profiles shape Team dynamics; coaching signals shape Organisation Insights

The names sound related, but the data and purpose are different. One helps a team understand how its members prefer to work; the other shows anonymised organisation-level trends.

Team dynamics starts with profiles

It brings together completed Personality profiles to help a team discuss communication preferences, decision-making styles and ways of working. People with either access type can contribute where permissions allow.

Organisation Insights shows anonymised trends

It uses eligible, aggregated coaching-derived signals to show organisation-level themes. It does not come from assessment answers and never shows individual coaching messages to Organisation Admins or Team Leads.

Privacy by design

Clear access never means wider visibility

Seat choice controls which tools someone can use. It does not make private coaching visible to managers or administrators.

Individual coaching is 100% confidential. Organisation Insights are anonymised; no individual messages are visible to Organisation Admins or Team Leads.

Meeting Insights are private to the person viewing them. Assessment Users have no Bilee conversations, Meeting Insights or generated documents because assessment-only access does not include authenticated coaching tools.

A completed Personality profile can contribute to Team dynamics where permissions allow. That shared team view is separate from private coaching and from anonymised Organisation Insights.

Useful details before you choose

Can an Assessment User log in to MyTeamBuilder?

No. Assessment Users use their unique assessment link to complete the 5-minute assessment and view their Personality profile. They do not receive dashboard or coaching access.

Can I turn an Assessment User into a Coach Seat user later?

Yes. An Organisation Admin can assign a Coach Seat. If one is already available it is used without changing the subscription quantity; otherwise another paid Coach Seat is added before access is granted.

Does a Team Lead need a Coach Seat?

Yes. Team Leads use logged-in team tools, so they require a Coach Seat rather than Assessment User access.

Does an Organisation Admin automatically need a Coach Seat?

Yes. Organisation Admin is a role held by a Coach Seat user. Every Organisation Admin occupies one paid Coach Seat and receives private coaching features alongside organisation-management access.

Can managers see someone’s private Bilee conversations?

No. Individual coaching is 100% confidential. Organisation Admins and Team Leads can use permitted management views, but they cannot read another person’s coaching messages.
